Cognitive Load

Book Session

Cognitive load refers to the total amount of mental effort required to complete a task or process information. In the context of work, it’s the friction that slows people down such as: the number of decisions they have to make, the context they have to hold, and the steps they have to remember to get something done.

At Rekap, we see cognitive load as one of the biggest blockers to clarity, speed, and focus inside organizations. It’s what happens when employees spend more time navigating tools, switching contexts, or reassembling information than actually executing.

Why Cognitive Load Matters

Cognitive load isn’t just a UX issue with working with the SaaS tools your teams have today. It’s an organizational one.

When teams are overloaded mentally:

  • Execution slows down because the cost of context switching is high
  • Mistakes and oversights increase
  • People default to the familiar—even if it’s inefficient—just to avoid overwhelm
  • Strategic thinking gives way to tactical survival

Over time, this leads to burnout, misalignment, and rework. Even the best systems and strategies can fall apart when people are cognitively maxed out.

Sources of Cognitive Load at Work
  • Tool sprawl: Too many disconnected platforms that don’t share context
  • Information fragmentation: Knowledge is scattered across docs, decks, chats, and meetings
  • Manual workflows: Tasks that require remembering multiple steps or jumping between systems
  • Unclear ownership: People aren’t sure who’s doing what or where decisions live
  • Decision fatigue: Constant small choices—what to prioritize, where to find something, how to proceed—drain mental energy
How Rekap Reduces Cognitive Load

Rekap helps teams reduce the invisible tax of context switching and memory juggling by:

  • Consolidating context: Automatically capturing and organizing decisions, insights, and next steps so nothing gets lost
  • Making knowledge ambient: Delivering relevant information at the point of action—not buried in a document or email thread
  • Streamlining workflows: Connecting tools and processes so fewer manual steps are needed to get from insight to execution
  • Supporting role clarity: With persistent visibility into who’s responsible for what, teams avoid duplication and guesswork

By offloading memory and context to a reliable system, Rekap gives people the cognitive space to focus on higher-leverage work.
